We are seeking a full-time Studio & Procurement Manager. The Studio & Procurement Manager ensures smooth operations for Rachael Goddard Design, assisting with FF&E specifications, purchase order coordination, and overall team support. The ideal candidate thrives on organizing processes for greater efficiency and transparency within the design team.

BILLING, PROCUREMENT, AND LOGISTICS

  • Studio Designer data entry; creating proposals/invoices/purchase orders

  • Place and track orders for projects

  • Liaise with vendors and suppliers

  • Manage/oversee shipping vendor and client warehousing/intake process

  • Assist with client retainers and funding tracking

  • Assist with local deliveries

  • Track shipping-related accounts – Fedex, Messenger, etc.

GENERAL OFFICE MANAGEMENT

  • Manage team calendar

  • Purchase and organize office supplies

  • Maintain sample library

  • Schedule and prepare agenda for team meetings

  • Office housekeeping

  • Create new organizational systems

ADMIN

  • Setup new projects in Studio Designer and Dropbox

  • Streamline procedures and office standards

  • Communicate regularly with business manager and accountant

  • Assist with project installs and logistics coordination

  • Support design team with project management tasks

SOFTWARE AND PROGRAMS

  • Manage Dropbox, project management software, and Google Drive

  • Create, edit, and manage templates

  • Manage Studio Designer organization

  • Manage licenses and subscriptions

HR

  • Post, write, and edit job listings

  • Assist with hiring processes

  • Onboard new hires

  • Track employee time off

  • Organize employee reviews

  • Manage employee handbook

  • Manage intern schedule and availability

INVENTORY

  • Manage and organize inventory

  • Organize storage unit

  • Manage inventory in Studio Designer

  • Assist with returns of merchandise

IT

  • Setup and manage software accounts

  • Track employee software accounts

  • Assist with IT issues

  • Assist with tasks for Principal

  • Assist with managing projects through all phases, including schematic design, construction administration, FF&E, and installation

  • Collaborate with the design team and Principal to produce thoughtful schematic designs

  • Produce CAD and/or Revit drawings and renderings as needed to support design

  • Create design presentations and assist with client meetings

  • Source and procure furniture, fixtures, and accessories by communicating with vendors

  • Generate proposals, purchase orders, and invoices

  • Oversee custom furnishing orders and maintain schedules

  • Manage vendor relationships and attend meetings with design team and clients

  • Handle multiple projects simultaneously and assist with installations and project completion

QUALIFICATIONS

  • 2+ years of Interior Design experience

  • Bachelor’s or Associate’s degree in Interior Design or related field

  • Proficiency in AutoCAD, Sketchup, and 3D rendering software (Enscape, V-Ray, Podium, etc.), Keynote, Adobe Creative Suite, and Google Suite. Revit experience is a plus

  • Familiarity with MAC operating software and Studio Webware and Monday project management software is advantageous

  • Knowledge of high-end sources for furniture, finishes, fixtures, and materials

  • Experience in construction, both ground-up and remodels

  • Strong ability to work independently, collaborate, multitask, and manage time effectively

  • Creative problem-solving skills and attention to detail

  • Excellent written and verbal communication skills

  • Strong work ethic, enthusiasm, and self-starting attitude

  • Los Angeles Area residency or willingness to relocate, with access to a reliable car for installations

RESPONSIBILITIES

  • Manage multiple projects simultaneously through all phases

  • Collaborate with team members, clients, vendors, architects, contractors, and manufacturers

  • Produce schematic designs independently or in collaboration with the Principal and design team

  • Lead project team by delegating and executing specific design-related tasks

  • Produce CAD and/or Revit drawings and renderings as needed

  • Create design presentations and assist with client meetings

  • Source and procure furniture, fixtures, and accessories

  • Maintain positive client relationships and manage client expectations

  • Oversee procurement process and generate proposals, purchase orders, and invoices

  • Manage FF&E project budgets

  • Review architectural plans and elevations

  • Design and oversee custom furnishings orders

  • Prepare specifications and schedules for furniture, lighting, and finishes

  • Manage and prepare for installations

QUALIFICATIONS

  • 5+ years of high-end residential design experience

  • Bachelor's degree in Interior Design or Interior Architecture preferred

  • Proficiency in AutoCAD, Adobe Creative Suite, and Google Suite

  • Familiarity with MAC operating systems; experience with Studio Designer and Keynote is a plus

  • Strong management skills and ability to manage junior designers

  • Excellent communication and organizational skills

  • Ability to work independently and collaboratively in a fast-paced environment
